Capture at the gate

Driver or gatehouse logs each load on a phone-friendly form. Waste type, EWC code, tonnage, carrier, source, destination. No app to install, works on any phone.

Step 02

Automated formatting

A background automation validates and structures every record so the fields line up with DEFRA's official Digital Waste Tracking submission requirements.

Step 03

Prepared for the official route

Records are prepared in DEFRA's official spreadsheet format, which you upload to your own DEFRA account, inside the mandatory 2-working-day window. Direct API submission is in build — I hold live DEFRA production API credentials and passed all 14 production approval tests with no exemptions.

Part CRequired fields

What DEFRA actually wants recorded.

Every waste movement has to carry the same set of fields. This is what the gate form captures, and what comes out the other end:

  • 01EWC waste classification code
  • 02Waste description and physical form
  • 03Number and type of containers
  • 04Quantity by weight, and whether it's estimated
  • 05Date and time received
  • 06Carrier organisation, registration number and means of transport
  • 07Your permit number and the receipt address
  • 08Disposal or recovery code, and hazardous and POPs flags

Miss one and the record isn't valid. The form won't let a driver submit an incomplete load, which is the whole point of doing it at the gate rather than at month-end.

Part DDuty of care

Duty of care can't live in a folder any more.

  • 01Every load has a timestamp, waste code and carrier logged automatically — no re-keying, no lost tickets.
  • 02Duty-of-care detail is captured against every load at the gate, not chased at month-end.
  • 03Inspections stop being panic events. Records are already formatted for the official DEFRA submission route.

How this stays compliant

DEFRA accept two submission methods and only two: their API, or their own spreadsheet template. You can't send them your own format. I'm connected to the live production API and I build records in their template.

The automation doesn't invent a third-party format. It captures the load once at the gate, structures the record to match the official DWT fields, and hands it to whichever official route applies to your site.
